How to Use Custom Note Templates to Fit Your Workflow

Not every recording needs the same kind of notes. A sales call needs different takeaways than a team standup. A lecture needs a different format than a brainstorm session. That's why we built custom note templates into Lua Voice.

What Are Note Templates?

When you generate notes from a transcription, Lua Voice uses AI to turn that raw text into something structured and useful. By default, you get a summary, key points, and action items.

But with custom templates, you control exactly what the AI focuses on and how it formats the output.

A Few Examples

Here's what some of our users have set up:

Sales calls. Their template pulls out the prospect's pain points, objections raised, next steps agreed on, and a follow up email draft. One recording turns into a full call debrief.

Weekly standups. The template lists what each person accomplished, what they're working on next, and any blockers mentioned. It's formatted as a quick update that goes straight into Slack.

Lectures and courses. The template creates study notes with key concepts, definitions, and a summary organized by topic. Way better than trying to take notes while listening.

User interviews. The template captures direct quotes, recurring themes, feature requests, and frustrations. Product teams love this one.

How to Create a Template

  1. Head to your dashboard and click on Prompts in the sidebar
  2. Click Create New Prompt
  3. Give it a name and write your instructions for how the AI should format the notes
  4. Save it, and it'll show up as an option every time you generate notes

You can be as specific as you want. Tell the AI to use bullet points, to organize by speaker, to include timestamps, or to write in a particular tone. The more detail you give, the better the output.

Tips for Writing Good Templates

Be specific about the format you want. Instead of "summarize this," try "create a bullet point summary with no more than 5 key takeaways, followed by a numbered list of action items."

Tell the AI what to focus on. If you're recording sales calls, tell it to pay attention to objections and pricing discussions. If it's a lecture, tell it to focus on definitions and core concepts.

Include an example. If you have a particular style in mind, paste an example of what good notes look like into your template. The AI will match that style.

Iterate. Your first template probably won't be perfect. Generate some notes, see what you'd change, and tweak the prompt. Most people get it dialed in after 2 or 3 rounds.
